Retreat Terms & Conditions

These terms apply to all retreats offered by Inward With Grace, LLC (“IWG”, “we”, “us”). They are meant to give you a clear picture of how bookings, payments, cancellations, and responsibilities work when you join one of our retreats.
By paying a deposit or making any retreat payment to IWG, you are confirming that you have read and agree to these terms, as well as the details for your chosen retreat on our website (the “Retreat Description”). Together, as amended from time to time, these form the agreement between you and IWG.
1. Booking a spot
Our retreats are intentionally small and intimate. Spaces are limited and held specifically for you once you commit.
Your place is only confirmed provided that:
we have received your booking request and information form via our webpage, and notified that a spot is available and appropriate for you
we have received your non-refundable deposit (or for late bookings, full payment), and
we have confirmed your booking by email.
We reserve the right to decline a booking if we reasonably believe the retreat is not an appropriate setting for you at this time, or if we cannot safely accommodate you. In such a case, any payments you have made to IWG for that retreat will be refunded.
2. Deposits, balances and non-refundable payments
We commit early to venues and local partners, and your payments go directly toward making the retreat possible. For these reasons, our payment schedule and refund policy are firm.
Unless stated otherwise in the Retreat Description:
a non-refundable deposit is due at the time of booking, and
the remaining balance is due 45 days before the retreat start date (unless otherwise stated; the exact final payment date will be clearly outlined in your confirmation email).
You will receive an electronic payment link by email to make the initial deposit along with a PDF copy of these terms and conditions and retreat description that together constitute your agreement with IWG. Confirmation of your booking will be communicated via email, along with detailed retreat logistics (including venue location) and travel guidance.
A follow up payment request for the remaining balance will be made 2 weeks prior to the deadline. If your balance is not paid by the due date, we may release your space and retain any payments already received. Your remaining balance can be paid as early as you desire to avoid lapsed payments. Any booking made fewer than 45 days before a retreat’s start date require fees paid in full at the time of booking.
Payments are typically accepted in USD and the currency of the retreat location (e.g. EUR for Spain) using credit card, bank or wire transfer or Wise; exchange or transaction fees of 1-3% may apply and will be communicated during collection of the initial deposit.
All payments made to IWG for retreats are strictly non-refundable. This includes deposits, interim installments and final balances. We do not offer refunds or credits for any reason including but not limited to: changes in work schedules; illness (including COVID-19), injury or family emergencies; flight delays, cancellations or missed connections; early departure from or late arrival to the retreat; or strikes or other disruptions outside our control; changes to the program required by weather, local conditions or partner availability. The sole exception is if IWG must cancel the retreat as described in Section 3.
We highly recommend trip cancellation and interruption insurance that covers such events and any potential loss of funds. We also require travel health insurance, as described in Section 5.
3. If we need to cancel or change plans
In rare circumstances, we may need to cancel a retreat due to reasons such as force majeure (for example, natural disasters, major travel disruptions, or public health emergencies), insufficient enrollment, or other serious issues beyond our control.
If IWG cancels or reschedules the retreat, we will refund the full amount you have paid to IWG for that retreat. This refund represents the full extent of our liability. Where possible, we will alternately invite you to transfer your booking to new dates at a discount.
In the case we cancel a retreat, we are not responsible for any loss of funds associated with flights or other travel or incidental costs incurred. These should be covered by your own trip cancellation insurance.
Given the caprice of nature and island weather, we may need to and reserve the right to make adjustments to the planned agenda or substitute activities, venue or facilitators. Reasonable changes do not entitle you to a refund. We always commit to honor the spirit and quality of the original program and prioritize the safety and wellbeing of all participants.
4. What is included and what is not
Each retreat has its own Retreat Description on our website where you will find clearly stated what your investment includes: how many nights of accommodation, which meals, what kinds of practices and excursions, and what is intentionally left flexible.
In general, your retreat fee includes the accommodation, meals and programmed group activities described in the Retreat Description. It does not include flights, airport ground transfers, travel or medical insurance, optional excursions, any service or purchase outside of the program, or anything clearly listed as “not included.”
5. Travel documents and insurance
You are responsible for ensuring that you successfully arrive at the retreat location. This includes having a valid passport, meeting any visa or entry requirements that apply to you, and complying with airline and health regulations in place at the time of travel.
Because these are international retreats, we require all participants to purchase travel medical insurance (or equivalent coverage) that is valid in the retreat country during the entire duration of the retreat. Coverage should include emergency medical treatment; medical evacuation and repatriation; and coverage for all activities listed in the Retreat Description.
You must provide proof of coverage when you pay your final balance (45 days prior to the retreat, unless otherwise stated), or we may treat your booking as cancelled by you under the non-refundable terms above.
We also strongly encourage you to purchase trip cancellation and interruption insurance (or use a credit card with this benefit) to protect any unforeseen reason or event that could affect your ability to attend. These risks sit with you and are not grounds for refunds from IWG.
6. Health, suitability and how we participate
Our retreats include diverse activities such as yoga and movement practices, walks or hikes on uneven terrain, exposure to sun and natural elements, breath work and meditation, periods of silence or reflection, meals and tastings including foreign foods and occasionally wine or other alcohol, and water-based activities.
By booking, you confirm that you are able to take part safely in the retreat as described, or that you are willing to modify or sit out of any activity that does not feel appropriate for your body or nervous system. You agree to let us know about any health, mobility, or psychological considerations that might affect your safety or participation, such as injuries, chronic conditions or serious allergies.
Our retreats are not a replacement for medical care, psychotherapy, or crisis support. You remain responsible for your own safety and wellbeing and for seeking professional guidance where needed.
Because our groups are small, we reserve the right to decline a booking if we reasonably believe the retreat is not an appropriate setting at that time, and any payments made refunded.
7. Third Party Providers
We work alongside local properties, guides and small businesses to partner in creating each retreat and use care in choosing who we collaborate with. These partners — including the retreat venue, private chef/catering, transportation providers, excursion operators or other vendors — are independent third-party providers and are not agents or employees of the Company. We are not responsible or liable for the acts or omissions of these third-party providers; their licensing, staff and operations; their safety standards or practices; or any changes they make to services, facilities, or schedules. Furthermore, we are not responsible or liable for any additional services or providers you choose to engage on your own outside of our program, which are at your own risk.
8. Assumption of risk, release and indemnity
Travel, time in nature, and inner work all carry some level of inherent risk. This may include the possibility of injury or illness, allergic reactions, emotional discomfort, property loss or damage, and exposure to infectious diseases. Conditions in the retreat location may be different from home.
By choosing to join a retreat, you acknowledge these realities and agree to take responsibility for your own choices, including how you move, what you participate in, and when you need to rest or opt out. You acknowledge that failure to disclose relevant health information may affect our ability to keep you safe and may result in your removal from the retreat without refund if participation would pose a risk.
To the fullest extent permitted by applicable law, you:
assume and accept all inherent risks associated with travel and retreat activities, including those described above and those that are not reasonably foreseeable; and
release and discharge IWG and its owners, employees, contractors, assistants and facilitators (“IWG and its team”) from any claims, demands or causes of action arising out of or related to your participation in the retreat (including travel to and from the retreat location and any optional or extra activities you choose to join), except to the extent that such claims arise from the gross negligence or willful misconduct of IWG and its team.
You also agree to indemnify and hold harmless IWG and its team from and against any third-party claims, losses, damages or costs (including reasonable legal fees) that arise from your actions or omissions, your breach of these Terms, or your violation of law in connection with the retreat.
Nothing in these Terms excludes or limits any liability that cannot be excluded or limited under applicable law.
9. PARTICIPANT CONDUCT and MEDIA
Retreats work best when there is a shared commitment to kindness, curiosity and respect. We ask everyone to participate in a way that honors both their own boundaries and those of others.
We reserve the right to ask any participant to leave, without refund, whose behavior during the retreat is persistently unsafe, abusive, discriminatory or seriously disruptive to the group. The use of illegal substances is prohibited at any time during this retreat and is grounds for removal.
During the retreat, we may take photos, short videos or audio recordings to help capture the atmosphere of the experience and to share the spirit of the work with future participants. If you prefer to opt out, you must let us know in writing before the retreat. We will do our best to honor this request, but we cannot always control incidental background appearance.
10. PRIVACY POLICY
To run small, personalized retreats, we collect some personal information from you, such as your name, contact details, booking/travel information and relevant health/dietary notes. We use this information only to organize and deliver the retreat, communicate with you, support your safety and wellbeing, and meet our legal and accounting obligations. We may share limited, necessary details (such name and dietary needs) with trusted local partners like the retreat venue or activity providers when required. We keep your information only for as long as reasonably necessary to run the retreat, manage follow-up communications and comply with legal requirements. We do not sell your personal information.
Payments are processed securely by third-party providers such as Stripe and your bank or card issuer. We do not have access to or store your full card or bank details on our own systems.

11. Governing law
These Terms, and any dispute related to them, are governed by the laws of the State of Delaware, USA, without regard to its conflict-of-law rules.
Any legal action between you and IWG relating to a retreat must be brought in the state or federal courts located in Delaware, USA, and both parties agree to the jurisdiction and location of those courts.
If any part of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
